From spreadsheets to a system: how to tell your shop has outgrown Excel
Almost every shop starts with one Excel file and a notebook by the till. And that is fine — at the start it is the fastest tool. But as the business grows, spreadsheets start working against you. Here are five signs it is already happening.
1. A client calls, and you search
If “when will my phone be ready?” means digging through files and calling the technician, you are paying with the client's trust. In a system you see the repair status in three seconds — and the client gets notified automatically.
2. The stock lives a life of its own
In a spreadsheet, stock counts are as accurate as the last person who edited them. When parts are deducted automatically with each repair and the system warns about low stock, inventory day stops being a detective novel.
3. History leaves with the employee
A technician's notebook and memory cannot be handed to a new colleague. In a system every repair, note and payment stays with the company — even when the team changes.
4. The numbers do not add up at month end
If reporting means an evening with a calculator, you are running the business on gut feeling. Real-time reports show which jobs earn and which only take time.
5. You stay late — doing admin, not repairs
Receipts, labels, notifications, logs. A system can do all of that while you do the work clients actually pay for.
